- I want to hire a Work-Study student. What are my first steps?
- The first thing you need to do is submit a job description through our website for approval. If you haven’t logged in yet, you will need to apply for a login. All Work-Study jobs must have an approved job description before a student can be hired, which can only be done through the Student Employment Website.
- How do I post a job description?
- To create and post a job description, log in to your account and click "Add a new job for…" You will need to select a Category for your position as well as a Job Title. Then just fill in the required fields. After clicking "Submit", you will be taken to the Job Application page where you can modify the online application that students will use to apply for your job. If you indicated on the job description that you do not wish to collect online applications, you will skip this step. Once you have completed the job description, it will be submitted for our approval. You will be notified by email once it’s approved.
- How long will it take to get my job description approved?
- Typically it will take 1-2 days to have your job descriptions approved. However, during high volume times of the year, it may take a little longer. Also, if we see issues with the posting, we may need to contact you, which can prolong the approval process.
- I already have the student I want to hire and don't need to recruit. Do i have to post the job anyway?
- No. When you are on Step 3 of submitting a job description, you can choose "No, put it in storage for me" when answering the question "Do you want the job listed immediately after it is approved?" This will keep the position in the system, but it will not be posted for other students to see. If you change your mind later, you can always login and change the status to "listed".
- Why do I have to choose from specific Categories and Titles?
- In order to comply with the Equal Pay Act which requires equal pay for equal work, we have worked with Human Resources to establish categories and job titles to ensure that students are receiving the appropriate pay for the work they perform. While we ask that you use these Categories and Job Titles, you may customize your jobs by adding information in the "Summary of Duties" and "Required Skills, Knowledge, and Abilities" areas. If you are unable to find a Job Title/Job Description that fits your position, contact the Office of Student Employment.
- How do I know which pay range is appropriate?
- We recommend that you use the Grade Level Classification Worksheet. This worksheet will help you to determine the pay range for your position that is appropriate for the knowledge required and the work performed. Keep in mind that while we do have set ranges, you determine the rate of pay within that range.
- How can I ask specific questions on the online application?
- When submitting your job description, at the bottom of the application page you will see an option to insert a new element. Using that feature, you can insert a question that the student must answer in addition to the rest of the application questions.
- Can I collect resumes online from students?
- No. Unfortunately, our system does not allow us to collect resumes from students online. However, you can indicate in the job description that the student must submit a resume by email in order to be considered for the position. You can also add a question on the application (see above) that reiterates this by asking "Have you emailed your resume to us?" and then adding in the description box "In order to be considered for the position, you must submit a resume."
- What is JobMail?
- JobMail is a feature for students that notify them by email when positions matching their interests are posted. If you indicated that you want JobMail sent when your job is listed, students will receive an email telling them that a new position has been posted.
- What do I need to hire a student?
- Please refer to the Work-Study Hiring Checklist to determine which forms you need to submit in order to hire a student. All University of Denver Work-Study students will need to complete a background check before the hiring paperwork can be processed.
- I am hiring the same employee as last year. Do I need to submit another background check?
- If the student was previously employed at University of Denver within 120 days of hire, another background check is not required, however all other hiring paperwork must still be submitted.
- I have a student that has been working with me during the summer and I want to switch her over to Work-Study funds. What paperwork do I need to submit?
- All you need to submit if the student is a continuous hire is the 2009-2010 New Hire Form and a printout of your online job description from the Student Employment website.
- How long will it take to process the hiring paperwork?
- Paperwork received by the Monday prior to time entry will be processed by the end of the week. Please keep in mind that incomplete paperwork can prolong the hiring process. Also, please remember that hiring paperwork contains highly confidential information. As intercampus mail is an unsecure form of document transport and may take a few days to get delivered, it is not recommended that hiring paperwork be sent through this channel.
- When can my student start working?
- Students may begin working as soon as the supervisor receives a confirmation email from the Office of Student Employment that the hiring paperwork has been processed. Students who begin their position before the confirmation email is received may result in the student’s earnings being paid out of departmental funds.
- I think my student will easily earn his/her full Work-Study award. Can s/he have additional funding?
- Work-Study students may apply for an award increase by completing and submitting the Award Increase Form. The maximum Work-Study award a student can receive is $6,000 for undergraduate students and $10,000 for graduate students.
- In order to assist supervisors in the corrective action process if needed, the Office of Student Employment has provided an Employee Corrective Action Form. This process involves communicating with your students, being open and positive, and offering guidance and feedback when appropriate. If you wish to terminate a student’s position, a Separation Form must be submitted.
- When does my student have to stop working?
- Students may utilize their Work-Study funds through the last day of finals, June 4th, 2009. If the student is enrolled at least half-time for the summer term, they may continue to utilize their funds through June 21st. 2009-2010 Work-Study will being on July 6, 2009 for students registered for the fall term.
- What is the supervisor listserv?

- I am no longer a Work-Study supervisor. How do I unsubscribe from the listserv?
- To unsubscribe, enter your email into the "Unsubscribe or edit options" field. You can also take this step to retrieve your password if you forgot it.
