Report an Incident Abroad

The University expects all members of the community to notify International Travel Health and Safety (ITHS) if, while traveling internationally, they are involved in, witness, or become aware of any incident that may impact the health and safety of a DU community member or violate DU policies. Timely reporting is essential—not only to help us support safe travel practices, but also to ensure compliance with federal regulations.

The purpose of reporting is to:

Document the details of the incident,
Outline actions taken in response,
Request additional support from ITHS, if needed.

Flexible Reporting (H3): “Heads up, Hang On or Hand Off”

Recognizing that the International Incident Report Form may not always be the easiest or most efficient way to communicate, ITHS has introduced a flexible reporting approach called “Hang On or Hand Off.”

Under this methodology:

Travelers or their support contacts may report incidents (provide a Heads Up) using whichever method is most comfortable—email, Microsoft Teams, phone call (+1303-871-2354), our Travel Assistance partner (+1443-569-8601), or the standard report form.
After reporting, the individual chooses one of two paths:
- Hang On: Continue managing the situation directly. This may be preferred if the reporter knows the traveler well, or if the incident is best handled within a specific program or department.
- Hand Off: Request ITHS to take an active role in managing the situation. This may be appropriate if escalation is needed, the reporter must focus on other responsibilities, or the incident is outside their comfort zone.
