Timekeeping
PioneerTime is DU’s timekeeping and leave reporting system.
Most DU employees, with the exception of faculty and some graduate student positions, use the PioneerTime system. Hours entered and approved in PioneerTime are uploaded and used to calculate paycheck amounts. Exempt (monthly paid) employees enter leave hours taken each pay period. Non-exempt (bi-weekly paid) employees enter hours worked and leave taken (if applicable) each pay period.
To ensure that paychecks are accurate:
1) Employees must properly record their hours in PioneerTime
2) Both the employee and supervisor must closely review and approve the employee timecard by the end of the pay period.

PioneerTime Overview for Employees

PioneerTime for Non-Exempt (Bi-Weekly Paid) Employees
Non-exempt employees are paid bi-weekly and are eligible to accrue overtime pay.
Non-exempt employees:

Record hours worked (by shift) in PioneerTime for each two-week pay period. Check the "Payroll Calendar" in the UFS Knowledge Base for exact dates.

May use either the PioneerTime Website or the PioneerTime terminals to record time. Check with your supervisor for the preferred method.

Should routinely Review recorded hours to catch and correct errors prior to the end of the pay period.

Will receive an email from UFS every pay period to remind them to do a final review and Approve their timecard prior to the supervisor's approval.
Non-benefited, non-exempt employees:

Do not accrue vacation time, but accrue sick leave per Colorado law.

Are unable to edit their timecard, so a supervisor must make timecard edits. (UFS can make timecard edits if the supervisor is unavailable).

Can record time using the PioneerTime website application -or- by using the terminals located in buildings throughout campus. (Check with supervisor for preferred method).

Should select a job when clocking IN for a shift.

Should NOT select a job when clocking out of a shift (unless they are switching directly from one job to another).

Benefited, non-exempt employees:

Accrue vacation and sick leave each pay period.

Enter their leave hours as well as hours worked for each shift in the bi-weekly pay period.

Are allowed to edit their own timecard.

Should monitor their leave balance using the Accrual tab at the bottom of their time card.

Can submit leave requests within PioneerTime or enter their leave hours directly on their timecard.

PioneerTime for Exempt (Monthly Paid) Employees
All Exempt (monthly paid) employees...

Accrue vacation and sick leave each pay period.

Only record leave time on their monthly timecard (sometimes referred to as "leave calendar").

Should monitor their leave balance using the Accrual tab at the bottom of their time card.

Can submit leave requests within PioneerTime or enter their leave hours directly on their timecard.

Will receive an email reminder from UFS and must review and approve their leave hours at the end of each month.
