New Employees

To help you prepare for your first day and beyond at DU, here is an overview of what to expect. Please keep in mind each unit on campus may have additional requirements and practices.

COVID-19 Protocols

If You Will Be Working Remotely

  • Complete the Pathway Back to Campus course in Canvas

If You Expect to Be on Campus - all steps MUST be completed prior to your hire date

  • Complete the Pathway Back to Campus course in Canvas
  • Identify your return date in PioneerWeb
  • Quarantine for 14 days prior to coming to campus and log your quarantine here
  • Symptom monitor daily and track your symptoms in the Everbridge app (download instructions can be found here)
  • Log in to to submit your molecular test results or schedule an appointment for COVID testing
  • Upload your ID Card photo in PioneerWeb (instructions can be found here)
  • Pick up your ID Card or authorize someone to pick it up for you or visit Pioneer Card office between 8:00am - 4:30pm M-F.

Before Arriving on Campus

First Day

  • New Hire Orientation currently takes place remotely via Zoom and will be remote for the foreseeable future.
    • Orientation lasts from 8:30am-12:00pm on the first and third Mondays of each month. New hires and managers are sent Zoom details prior one week prior to the orientation date.
    • New Hire Orientation provides an overview of DU's leadership team and organizational structure; our mission, vision, and values; an overview of HRIC and HR Shared Services; introduction to systems such as PioneerWeb and Pioneer@Work; required compliance training; and additional resources.
    • Employees who are in an appointed benefited position also attend the Benefits presentation.
  • Form I-9: Due to new protocols for COVID-19, we are having all employees complete the I-9 form remotely. In order to make this process as easy as possible, each employee will receive an email from Shared Services with detailed instructions, a reference guide, a list of acceptable I-9 documentation, and a blank I-9 form.
    • Page 1, Section 1 must be completed by the employee no later than the first day of employment.
    • Once Page 1, Section 1 of the form is completed by the employee, an Authorized Representative will inspect the section, the employee's supporting documents, and then complete Page 2, Section 2. This must be done no later than the 3rd day of employment.
      • Please note that the Department of Homeland Security is temporarily permitting Family/Household members to act as a "person of trust" to complete Section 2 of the I-9 form.

Once the form is completed, the new hire will need to email it with copies of their supporting documentation to the Employment Specialist to verify employment. 

First Week and Beyond 

  • Sign-up for a new employee campus tour
  • Complete all required training in Pioneer@Work
  • Review your job description, responsibilities and expectations with your manager
  • Review unit, division and University policies and procedures
  • Discuss the performance review process with your manager
  • Enter goals into online performance management form within 6 weeks (staff only)
  • Return completed benefit enrollment forms to Shared Services within 30 days of hire date
  • Complete all required job training
